Overview

  • Cancelling an event is an irreversible action that permanently changes the event’s status to Cancelled.
  • When an event is cancelled, it is immediately taken off sale and hidden from all listings.
  • Customers are not automatically refunded or notified when an event is cancelled — refunds and communications must be managed separately.
  • Existing orders remain intact after cancellation. Individual order items are not automatically cancelled or modified.
  • Cancellation requires the Cancel permission.
Once an event is cancelled, it cannot be put back on sale or published. This action cannot be undone.

What Happens When You Cancel

Cancelling an event applies the following changes in a single operation:

What Does Not Happen

  • No automatic refunds — customers keep their existing orders unless you process refunds separately.
  • No automatic notifications — no emails or SMS messages are sent to customers.
  • No order item cancellation — individual items within existing orders remain in their current state.

How to Cancel an Event

From the Event Dashboard

  1. Navigate to the event dashboard for the event you want to cancel.
  2. Click Change Event Status.
  3. Under the Permanent status updates section, click Cancel Event.
  4. Review the help text and the irreversibility warning.
  5. Click Confirm to cancel the event.
The cancel option is only visible if the event has not already been cancelled and you have the Cancel permission.

From the Event Listing

When cancelling from the event listing via the actions dropdown, you are redirected to the Issue Refunds page with the event pre-selected. This allows you to process refunds for affected customers before or as part of the cancellation workflow.

Bulk Cancellation

Multiple events can be cancelled at once by selecting them from the event listing and choosing the cancel action. Each selected event is cancelled individually — if some events in the selection are already cancelled, they are skipped automatically.
If your company has the past events editing limitation enabled, events that have already passed their end date cannot be cancelled. The cancel option will not appear for these events.

Managing Refunds

Cancelling an event does not process refunds — this is a deliberate separation so you can control how refunds are handled. After cancelling an event (or before, via the listing workflow), navigate to the Issue Refunds section on the event dashboard to manage refunds. On the bulk refunds page, orders where all items for the event have already been individually cancelled appear greyed out and cannot be selected for further refund processing.

Effects on Other Features

  • Payment links — Payment links for orders containing items from a cancelled event are blocked and cannot be activated.
  • Basket links — Basket links referencing a cancelled event are similarly blocked.
  • Event dashboard — The publish, on sale, and off sale actions are removed from the event dashboard once the event is cancelled.
  • Event listings — The event no longer appears in listings or search results.
  • Reporting — The cancellation date is recorded and available in event reports. Revenue from unrefunded cancelled items is tracked separately from active sales.
  • API — The is_cancelled attribute is exposed on event responses.

Cancelled Event Display

Cancelled events display a red Cancelled badge on the event dashboard and in event listings within the admin panel. When an event is cancelled, other status indicators (on sale, off sale, sold out) are replaced by the cancelled badge.
